4. Prohibited Acts

- use any robot, spider, scraper, data-mining or other automated means (including AI Systems) to access or extract data from the Website.
5. Intellectual Property
- Unless otherwise indicated, all intellectual property rights in the Website, its content and all materials made available on it (including text, graphics, logos, icons, sound recordings, video, software, design and layout) are owned by or licensed to us.
- You may access and view the Website using your web browser and may print or download a single copy of a page for your personal, non-commercial use. All other uses are strictly prohibited.

8. Australian Consumer Law

- You must not input or upload any Website content, data or materials into AI Systems to train, develop, or enhance AI models unless expressly authorised by us in writing.
- You agree that you will not use our Website content, data or materials within an AI System to generate derivative works, unless we have given you prior written permission.
11. Governing Law
- The Terms are governed by and are to be construed in accordance with the laws of the State of Victoria, Australia and you agree that the courts of the State of Victoria, Australia will exclusively adjudicate over any dispute in relation to these Terms.
- If any term of these Terms conflicts with the provision of any legislation of the Commonwealth of Australia or any State, that legislation will prevail.
- This Website may be accessed from outside Australia. We make no representation that the Content available through this Website complies with the laws (including intellectual property laws) of any country outside Australia. If you access this Website from outside Australia, you do so at your own risk and you are responsible for ensuring compliance with all laws in the place where you are located.

Artificial Intelligence (AI)
A machine-based system that, for explicit or implicit objectives, infers from input data how to generate outputs (such as text, images, content, recommendations or decisions) that can influence physical or virtual environments.
AI Systems
Software, platforms or tools using artificial intelligence, including generative AI, chatbots, image generators, transcription tools, or data analysis assistants.
AI Generated Output
Material, content or information created wholly or partly by an AI System.
Data Training
The process of using data (including text, images or other content) to train, refine or improve an AI System’s performance.
Human Review
Review, editing and approval by a qualified person of AI Generated Outputs before they are used, published or provided to any person.

3. What Personal Information Do We Collect?
- The kinds of Personal Information we may collect from you will depend on who you are (e.g. a current customer or prospective supplier) and the nature of your interaction with us.

5. How Do We Hold Your Electronic Information?

- We take reasonable steps to protect your Personal Information from misuse, interference and loss, as well as unauthorised access, modification or disclosure, through the use of secure systems, restricted access, encryption and other safeguards appropriate to the nature of the information.
6. Do We Send Your Personal Information to Parties Outside Australia?
- We primarily store Personal Information within Australia either onsite at our offices in Melbourne or via the Microsoft Office 365 suite of software tools (i.e. Word, SharePoint and Teams) (Office 365). Data we store via Office 365 is hosted in Microsoft’s Australian Southeast data centres.
- From time-to-time, we use third-party service providers other than Office 365 for digital cloud storage, web hosting, AI processing or other technology-related services in connection with providing our Services. We may disclose your Personal Information to these third-party service providers who may operate outside Australia or operate in Australia with servers located outside Australia (International Operators). We currently use, among others, Microsoft – Office 365, Mailchimp, Meta, OpenAI, AccountAbility, PandaDoc, Xero, Employment Hero, Monday.com, and Dropbox Cloud.
- As some of our third-party service providers operate globally, we cannot say with certainty where their servers are located or the countries out of which they operate at any given time. Further, these locations may be subject to change without notice to us.
- The Privacy Act and corresponding Australian Privacy Principle 8.1 require us to take reasonable steps to ensure that, before disclosing Personal Information overseas, overseas recipients do not breach the Act or the applicable Australian Privacy Principles. It is not always possible for us to ensure that multinational companies, such as Microsoft – Office 365, Mailchimp, Meta, OpenAI, AccountAbility, PandaDoc, Xero, Employment Hero, Monday.com, and Dropbox Cloud will not breach the Privacy Act or the applicable Australian Privacy Principles.
7. Are We Responsible for Third Parties’ Websites and Social Media Links?
- This Policy applies solely to Personal Information collected with regard to providing our Services, the operation of our Website and otherwise in connection with the operation of our business.
- We are not responsible for the collection of information or privacy practices of third-party websites that may be linked to from our Website from time-to-time, or social-media platforms that may be accessed via links on our Website or in our emails.
- We refer you to the privacy policies and terms of use of the operators of any linked third-party websites.

9. Use of Artificial Intelligence (AI) Systems
- If you are a customer of ours, this section should be read in conjunction with our Client AI Use Policy.
- If you are a staff member, representative or supplier of ours, this section should be read in conjunction with our Responsible AI Policy.
- We use AI Systems to assist in the operation of our business and our Services, including for document preparation, communication, marketing, analysis and administrative functions. From time to time, it may be necessary to input Personal Information into such AI Systems.
- Any AI System we use to process Personal Information has been vigorously tested by our AI Governance Committee using the Australian government’s National Artificial Intelligence Centre’s AI Screening Tool and placed on our AI Register System.
- We take reasonable steps to ensure that the inputting of any Personal Information into AI Systems complies with the Privacy Act, the Australian Privacy Principles and our various policies in relation to AI use.
- We will not use Personal Information for Data Training of public AI Systems (including OpenAI, Anthropic, Google Cloud AI, Microsoft Azure AI or AWS AI services) except where otherwise authorised by the relevant individual.

- AI Systems used by us have robust data protection standards;
- Where AI Systems are used to assist with processing, communication, content generation or data analysis, we apply Human Review to Outputs; and
- Where Personal Information is not required to be processed, Personal Information in materials is anonymised or de-identified where practicable and before inputting into such materials into AI Systems.
- You may contact us at any time to inquire about our use of AI Systems and how your Personal Information may be processed by them.
10. Do We Collect Personal Information Through Cookies and Analytics Tools?
- We may collect device information, including information about your web browser, IP address, time zone, some of the cookies that are installed on your device, individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site using cookies and log files.

- Multi-Factor Authentication (MFA): Enforced on all externally accessible systems, including one-time passwords (OTP), automatic password expiry and renewal.
- Authorised Staff Access: All key platforms we use are limited to use by authorised staff on a ‘need to use’ basis.
- Regular monitoring, auditing and testing of our systems.
- Staff training on privacy obligations and cyber-security risks.
- You should be aware that there are inherent risks associated with the transmission of information via the Internet. Data-security measures can never be guaranteed. This means that while we take steps to protect your Personal Information, we cannot guarantee its security.

A group of people at Cassette (lead by the AI Lead) responsible for the oversight, decision making and compliance of the use of AI and AI Systems At Work.
AI Systems
Software, platforms or tools using artificial intelligence — including generative AI, image generators, transcription tools or data-analysis assistants.
AI Generated Outputs or Outputs
Material, content or information created wholly or partly by us using an AI System.
Data Training
The process of using data (including text, images or other content) to train, refine or improve an AI System’s performance.
Human Review
Review, editing and approval by a qualified person of AI Generated Outputs before they are used, published or provided to any person.
Personal Information
Has the meaning as defined in the Privacy Act.
